Privacy Policy

What information Verascribe collects, why we collect it, who can see it, and the choices you have.

This page is being finalised and may change before launch.

This Privacy Policy explains how Verascribe Inc. ("Verascribe", "we", "us") collects, uses and protects personal information when you visit our website, request a quote, send us recordings for transcription, or apply to work with us.

Information we collect

Information you give us. When you request a quote, we collect the case or matter name, docket number and jurisdiction you choose to provide, the name of the ordering attorney or individual, firm name, billing address, phone number, email address, service selections and any special instructions. When you apply to work with us, we collect the contact details, work history, documents and answers you submit in the application.

Recordings and transcripts. Audio and video files you upload, and the transcripts we produce from them, may contain personal, privileged or confidential information about you and about third parties. We treat this material as confidential client material, as described in the section on recordings below.

Information collected automatically. Our hosting provider records standard server logs, such as IP address, browser type and the pages requested, for security and reliability. We do not use advertising trackers on this website.

Speech-recognition software. A first draft of a transcript may be produced by speech-recognition software running on a business service whose terms prohibit retaining or training on your audio. Client audio is never sent to consumer AI services or public transcription tools.

How we use information

We use the information we collect to:

  • prepare quotes, deliver transcripts and invoice for our services;
  • communicate with you about an order, an application or a question you sent us;
  • review applications and manage our network of contractors;
  • keep the website and our systems secure; and
  • meet legal, accounting and record-keeping obligations.

We do not sell personal information, and we do not use client recordings or transcripts to train software or for any purpose other than delivering the work you ordered.

Recordings and transcripts

Recordings are uploaded over an encrypted connection and stored encrypted in a private storage area that is not publicly accessible. Access is limited to the Verascribe staff and the assigned transcriptionist and reviewer who need it to complete your order. Everyone with access is bound by confidentiality obligations, and we will sign a matter-specific non-disclosure agreement on request.

Recordings and transcripts are deleted 30 days after delivery unless you ask us to keep them longer or delete them sooner, or a legal obligation requires us to keep them. You may ask us to delete your files at any time, and we confirm in writing when deletion is complete.

Who we share information with

We share personal information only with:

  • service providers who host our website (Vercel), store files and form submissions (Supabase, on infrastructure in the United States), and send our notification email (Resend), under contracts that limit their use of the information to providing those services;
  • transcriptionists and reviewers assigned to your order, who are bound by confidentiality obligations; and
  • authorities, where we are required to by law, subpoena or court order. Where permitted, we will notify you before disclosing client material.

How long we keep information

We keep quote requests and order records for as long as needed for billing, tax and legal purposes. We keep job applications for up to two years so we can contact applicants about future openings, unless you ask us to delete yours sooner.

Your choices and rights

You may ask us to access, correct or delete the personal information we hold about you, or to stop contacting you. Depending on where you live, you may have additional rights under laws such as the California Consumer Privacy Act or the data protection laws of your country. To make a request, contact us using the details below. We will respond within the time required by applicable law.

Children

Our services are intended for legal professionals and businesses. We do not knowingly collect information from children through this website.

We may update this policy from time to time. The date at the top of this page shows when it was last changed. Material changes will be highlighted on this page.
